Based in Munich and reporting to the DACH Lead, the Facility Manager is accountable for leading the Facility Team to ensure seamless day-to-day office operations. This includes oversight of Facilities Services, maintaining strong relationships with the Landlord and Building Management and also our client POCs on site. The FM serves as the primary point of contact and represents WPS within the local office community.
As a key member of the WPS Team, the FM contributes to cross-site alignment efforts and may lead regional initiatives as assigned, helping to drive consistency and operational excellence across the region.

PEOPLE MANAGEMENT

  • Direct supervisor for the Facility team in Munich ensuring a smooth day to day operations and an impeccable office at all times.

  • Vacation & Roster Planning, including cover planning and training

  • Annual Objective Setting in alignment to Salesforce WPS team objectives, regular Career Development conversations.

  • Own the hiring and on-boarding of all new team members, as well keep up-skilling and training the team as required.

FACILITIES MANAGEMENT:

  • Act as a single point of contact for all facilities matters and react appropriately to queries raised.

  • Conduct regular Facility Maintenance checks and ensure documentation of the same. Coordinate required preventive maintenance and repairs with required parties, such as building management team, handyman or other external vendors.

  • Meet regularly with the TMF Senior Manager, Janitorial Supervisor and sub vendors, reviewing quality of service (KPI scoring).

  • Maintain Relationships with Building Maintenance Team and Landlord representatives and coordinate between internal and external parties as required.

  • Ensure all corporate security process are followed in regards to any external vendors and onsite works in Salesforce premises.

  • Coordinate the local roll out of global WPS initiatives and projects, such as culture gallery, densification, unassigned seating, ect. under direction from the WPS Manager Germany.

  • Responsible for the KPI's for all work streams within the Munich office.

  • Supervision of planned and reactive maintenance including stock of consumables and management of the Handyman service.

COMMUNICATION & REPORTING

  • Build and maintain strong relationships to local office communities and stakeholders like Hub leads

  • Own all communication to the local office communities, via email and Slack

  • Provide information about news, events, upcoming changes etc.

  • Inform of any office maintenance or modifications to avoid or keep disruptions to a minimum

  • Promote and support WPS customer satisfaction surveys, newsletters and other communications initiatives

  • Communicate IT-related topics in collaboration with the IT department

  • Prepare and actively contribute to any reporting, meeting agenda's of the DACH WPS teams

  • Ensure communications flow within the WPS team, from and to the German WPS Management Team as well as into the IFM.

  • Co-ordinate and collaborate with the Back Office Admin or other IFM internal functions for a smooth reporting, invoicing, HR and recruiting processes leveraging shared service functions, access to the vendor network and subject matter experts to the greatest benefit of the account

WORKPLACE HEALTH & SAFETY

  • Ensure compliance to German Health and Safety regulations, for example: coordinate Fire Warden and First Aider trainings, attend ASA meetings, ect. in conjunction with our H&S consultant.

  • Fully execute the Site ERT Playbook and all maintenance activities

  • Coordinate drills with building management and communicate to employees at the site and the ERT team

  • Coordinate site Fire Warden and First Aid training

  • Keep ERT training and staffing records up to date.


ADDITIONAL ROLES & RESPONSIBILITIES

  • Participate in cross regional task forces / working groups as required.

  • Interface with IT for all IT-related crossovers, particularly in the sharing of knowledge for all Audio Visual kit used within the office.

  • Execute Space Champion duties for Munich (Audits, floor plan updates ect.)

  • In line with all SFDC security policies, ensure all staff and visitors comply with Security standards (visitor sign-in process, badge surfing, data protection, etc).

QUALIFICATIONS:

  • Bachelor degree in related discipline (preferred)

  • Minimum 3 years of related Supervisory experience in Facilities Management

  • Intermediate-advanced knowledge of Google (google meet, google docs and goole slides) and the complete google suite of products.

  • Strong understanding of financial planning and budget management, with experience overseeing and optimizing annual facility budgets, ensuring all expenditures align with operational goals and remain within approved financial limits (required)
