Legal Secretary to APAC Managing Partner

Australia , Sydney

Kennedys is seeking an experienced Legal Secretary to join our team in Sydney on a full-time basis. In this role, you will provide comprehensive and pro-active legal secretarial and executive assistant support to our APAC Managing Partner, James Melvin.

Key Responsibilities

  • Act as the point of contact for queries addressed to the APAC Managing Partner, always maintaining absolute confidentiality
  • Assist with calls, emails, enquiries and requests, responding on behalf of the APAC Managing Partner as directed or previously advised
  • Compile and format reports for the Management team, ensuing a timely delivery and alignment with brand standards
  • Manage diary and meetings, including drafting agendas and attending various APAC, Partner and Manager meetings as the minute taker
  • Prepare and prompt the APAC Managing Partner on important tasks and deadlines
  • Daily triage of mailbox and escalate matters of urgency
  • Book and manage travel arrangements in accordance with firm's travel policy, ensuring optimal use of time. This includes managing flights, accommodation, client meetings, transportation and reservations as needed
  • Support meetings by preparing agendas, conducting necessary research, providing the latest activity reports from the firm's client database and coordinating with Business Development team and partners
  • Provide daily agendas and any additional or supporting documentation required.

About you

  • Significant experience as a Legal Secretary or Executive Assistant, with a proven ability to support at Partner level.
  • Proficiency with Elite 3E and iManage is preferred, but not mandatory.
  • Skilled in managing correspondence and transcribing dictation accurately.
  • Well-organised and methodical approach to work.
  • Strong communication skills with a natural ability to build and maintain internal and external relationships.
