About our Warsaw team
Based in Warsaw, our team supports customers across Poland and other Central European markets by providing commercial, sales, service and operational support for Thermo Fisher Scientific's broad portfolio of laboratory instruments, life sciences solutions, diagnostics and consumables.
You will work in a collaborative and international environment, partnering closely with Sales, Customer Care, Finance, Legal and other cross-functional teams to support commercial activities and deliver an outstanding customer experience.
The Role
As a Commercial Tender Specialist, you will support the preparation and coordination of commercial tenders, quotations and related documentation across Poland and selected Central European markets.
The role combines commercial operations, tender support, product and documentation analysis, pricing support and market intelligence. You will work closely with internal stakeholders to ensure that tender submissions and commercial activities are accurate, compliant and delivered within required deadlines.
The role also provides an opportunity to contribute to process improvements, develop market knowledge and support the continuous improvement of tender and commercial operations.
Key Responsibilities
Support tender activities across Poland, Czech Republic, Slovakia and Hungary, including monitoring and initial screening of opportunities and coordinating required documentation.
Prepare product, pricing and commercial documentation for tenders and quotations.
Review tender requirements and identify the relevant Thermo Fisher Scientific products, catalogue numbers, specifications, pack sizes, quantities, units and other required parameters.
Research and compile technical documentation, including SDS/MSDS, datasheets, certificates, instructions and product information.
Prepare product leaflets and documentation packages required for tender submissions and quotations.
Support pricing calculations by checking quantities, units, pack sizes and historical or market pricing information.
Collect and analyse competitor pricing and tender results, contributing to a structured database covering products, manufacturers, catalogue numbers, prices, customers and countries.
Support the matching of Thermo Fisher Scientific products with competitor products based on catalogue numbers, technical specifications and official manufacturer documentation.
Support tender activities where Polish-language expertise is not required, allowing colleagues with strong Polish-language skills to focus on more complex local requirements, product interpretation and formal tender matters.
Collaborate with Sales, Finance, Legal, Customer Care and other stakeholders to ensure accurate and timely completion of tender and commercial activities.
Identify opportunities to improve processes, tools and ways of working within commercial operations.
Use available digital and AI-enabled tools to support translation, documentation research and preliminary analysis where appropriate.
Requirements
Bachelor's Degree plus relevant experience in commercial operations, bid management, customer service, tender support or a related business environment, or an equivalent combination of education and experience.
Experience in commercial operations, bid management, customer service, sales support, procurement or a related environment is preferred.
Experience working with commercial documentation, quotations or tenders is an advantage but is not a mandatory requirement.
Strong analytical and problem-solving skills with excellent attention to detail.
Strong knowledge of Microsoft Office Suite; experience with ERP systems such as SAP or Oracle is an advantage.
Strong organisational and project coordination skills, with the ability to manage multiple priorities and deadlines.
Ability to analyse data and translate information into actionable insights.
Strong communication and stakeholder-management skills.
Fluent English is required.
Polish language skills are not mandatory for all activities of the role, as part of the scope will support Central European markets and activities that do not require Polish-language expertise.
Willingness to learn Polish and progressively develop the ability to operate more independently within the local Polish working environment.
Ability to work independently while collaborating effectively with international and cross-functional teams.

Polish Language Considerations
Polish is required only for activities where a strong understanding of Polish-language tender documentation or local requirements is necessary. These activities will remain primarily with colleagues who have the required level of Polish proficiency.
For the successful candidate, there will be an expectation to develop Polish-language skills over time and progressively increase their ability to support the local team.
During onboarding, appropriate support can be provided through translation tools, AI-enabled solutions and collaboration with Polish-speaking colleagues where required.
